Purpose
Establishes the criteria for the purchase, distribution and maintenance of simulation center equipment and computer hardware and software.
Scope
This policy applies to all faculty and staff.
Policy
The purchase, distribution and maintenance of LRC equipment and computer hardware and software at the College of Nursing (CON) are done in accordance with UNMC Policies 5000 Purchasing and 6051 Computer Use/Electronic Information.
Purchase
Requisitions for new simulation center equipment and computer hardware and software will be reviewed prior to purchase to ensure compatibility with existing standards. The CON Simulation Center Specialist will review purchases with the Director of Simulation Education and/or the respective division assistant dean to ensure that simulation center equipment is suitable for the intended purpose. The workstation specialist will review computer hardware and software purchases to ensure compatibility and compliance with standards.
The Simulation Operation Specialist will maintain an inventory of each piece of simulation center equipment regardless of cost. The workstation specialist will maintain an inventory of all computer hardware and software.
Simulation center equipment and computer hardware and software are to be inventoried on a yearly basis. Equipment on loan must be brought into one of the divisions on a yearly basis for this purpose.
Simulation center equipment and computer hardware and software purchased by any division of the CON is considered the property of the CON as a whole with assignment made to the college not to an individual or division.
A comprehensive inventory of simulation center equipment and computer hardware and software will be maintained through the online inventory management system.
Distribution
Simulation Center equipment, computer hardware, and software purchased by the CON should be delivered directly to the division for which it was purchased whenever possible. If items are delivered to a central receiving location, such as the Omaha Simulation Center or a division workstation specialist, they will be routed to the appropriate division. Upon receipt at the intended division, items will be verified to ensure the order is complete and accurate and, when applicable, that the equipment is functioning properly.
All equipment costing $5,000 or more will be marked by UNMC Inventory Control with a standard asset identification tag. All equipment over $100 and less than $5,000 will be marked with the appropriate CON asset identification tag by the receiving Simulation Operation Specialist or workstation specialist.
New equipment is considered the property of the college even without appropriate identification.
Transferring, loaning and sharing, of simulation center equipment will be handled locally by the Simulation Operation Specialist or workstation specialists, in accordance with CON Policy 3101 - Loan of Simulation Center and Computer Equipment. Disposal of simulation center and computer equipment will be according to UNMC policy 6051 and will be coordinated through the workstation specialist in order to expedite record keeping and ensure proper inventory control.
Maintenance
LRC equipment held by a division will be cleaned and maintained by the respective LRC coordinator. If there is a repair issue, the LRC coordinator will contact the LRC Director and/or division assistant dean to determine whether to repair or replace the item. Any damage or loss of LRC equipment should be reported immediately to the LRC Director.
Computer hardware and software will be maintained by the workstation specialist. Any damage or loss of computer hardware or software are to be reported immediately to the workstation specialist.
