Procedure:

  1. IP Video is to be used for distribution of classes, large meetings, and special events across campuses and to student homes.
    1. IP video classes are to be scheduled according to standard CON course scheduling procedures.
    2. IP video classes routinely will be scheduled to end 10 minutes before the hour so as to allow time for set up of the next class.
    3. IP video class day and time may not be changed after the first week of classes.
    4. IP video sites will not be added after the first week of classes with the following exceptions:
    5. Video Services should be notified at least 24 hours in advance if a specific class is to be cancelled.
    6. Ad hoc meetings or events to be distributed via IP video should be scheduled at least three business days in advance of the event (whenever possible) through use of standard CON scheduling procedures. ITS may not be able to accommodate requests received with less notice.
  2. IP Video classes, meetings and events may be archived for later video streaming through Video Services.
    1. A request for a routine video archive must be made at the time the class or meeting is scheduled or within 3 working days of the event.
    2. Archived video is to be made available for use within 2 working days.
    3. In the event of a campus closing or class cancellation due to weather, a faculty member may request the archiving of a class on the day of the class.
    4. Course archives will be kept for no more than 18 months and will then be permanently deleted unless authorized by the Associate Dean for Academic Programs.
    5. Meeting archives will be kept for no more than 12 months unless authorized by the Associate Dean for Academic Programs.
    6. Event archives will be kept for no more than 3 years unless authorized by the Associate Dean for Academic Programs.
    7. Archiving of specific courses may be discontinued if adequate student usage or strong rationale for continued storage is not demonstrated. The Associate Dean for Academic Programs will be notified of courses with low archive usage so that discussion with faculty can be initiated.
  3. Internet meeting software (as provided by Information Technology Services) is to be used for small classes or meetings when appropriate.
